When you tell a new supplier that an order must go through your company system, explain what that means for this purchase. The supplier may need to provide registration documents, prepare catalogue information or simply wait for a purchase order generated internally. Those are different tasks. Without that distinction, it may keep revising a commercial offer when the missing step is administrative.
Amazon Business's October 27, 2026 announcement describes a procurement experience in which participating systems can bring purchasing policies, budgets, order history and search information into the buying process. The described features are limited to its customers in the United States. The announcement illustrates how an existing purchasing environment can shape product access; it does not establish that every buyer uses the same route or that a Chinese exporter needs a new integration.
Locate the step that prevents this order
Begin with supplier registration. Your product contact may support the purchase while another team still needs to establish a supplier record. Tell the supplier which documents are required, where they should be delivered and who can clarify a rejected or incomplete submission. A receipt saying that documents arrived should not be described as approval if the review has not finished.
Use the approved channel for sensitive information. A supplier trying to be helpful may send a large collection of documents to everyone copied on an email. A specific request reduces that exposure and gives the reviewing team a manageable task. Do not ask the supplier to invent a missing answer or use a different identity simply to make a form accept the submission.
Registration may already be complete while the proposed item remains unavailable through your usual selection route. In that case, specify the product information needed for the actual purchasing task. Model identity, priced unit and applicable conditions should be consistent with the offer. A general brochure can explain the range but may not provide the particular item record the purchasing team needs.
The next question is how the order reaches the supplier. Some organizations generate an internal request and then send an ordinary purchase order. That does not necessarily require the supplier to connect software to your system. Explain the current process before discussing development. If a technical connection really is required, establish scope, eligibility, responsibility and available alternatives before either party funds it.
Separate this operational route from an unresolved buying decision. If the technical team still needs to assess suitability, registration alone will not settle its concerns. If the product is accepted and only a supplier record is missing, another demonstration may not help. The questions your buying team still needs answered should remain visible, but they should not obscure a specific missing administrative action.
Give the supplier a request it can complete
Replace an instruction to finish onboarding with the exact outstanding requirement. Identify the document or item field and the person who can confirm it. Where a current version has already been supplied, point to the relevant copy and explain what remains inadequate. Repeatedly requesting the entire pack without identifying the gap increases the chance of inconsistent versions circulating inside the purchase.
If your organization has a required template, provide it before the supplier prepares another format. Also explain how to handle a condition that cannot truthfully be entered as a fixed value. Custom configuration, delivery timing or freight may depend on the particular order. Forcing a provisional estimate into a permanent catalogue price can create a mismatch between what colleagues select and what the supplier has actually offered.
Reference information and transaction terms need a clear relationship. Ask whether the catalogue amount is intended to be binding for this order and how exceptions are confirmed. Your internal users should not infer that every visible item is available in every configuration on the same terms. The supplier likewise needs to distinguish a proposed record from an accepted current purchase.
Keep account access with authorized users. A supplier can prepare information and answer questions without operating your employee account or acting as the internal approver. If the procurement contact cannot resolve the issue, introduce the appropriate registration or purchasing operator with a narrow explanation of what needs attention. This is more useful than adding several departments to an unexplained chase email.
When registration or catalogue work is complete, tell the supplier which administrative step has finished and what happens next. Issue the actual order through your established process with its current quantity, configuration, price and delivery details. If no order has been issued, say so explicitly; an onboarding confirmation should not be read as an instruction to start production or ship.
