A technical meeting with a potential supplier should add something that reading the catalogue could not. You may already have used AI to compare models and reviewed the supplier's product pages. The remaining issue might be whether a configuration can operate under your conditions, what still needs testing or who can confirm the answer. Agree that purpose before filling the meeting with another general presentation.
Forrester's October 21, 2026 release of its 2027 B2B predictions anticipates continued human conversations to validate fit and feasibility after AI-assisted research. That is a forecast, not a measured description of every industrial buying process. For purchases involving installation or custom configuration, it nevertheless raises a practical question: what must the people in the meeting decide that documentary research cannot settle?
Supply the conditions behind your question
Send the supplier the specific uncertainty and the operating information needed to assess it. A broad request to confirm that a product is suitable leaves both sides guessing about the intended use. If your team does not yet know an important site condition, the meeting can establish how to obtain it. It should not turn that missing input into an assumed favourable condition.
Ask which evidence applies to the proposed configuration. A specification describes confirmed attributes; a demonstration shows performance under the conditions in which it took place. Neither automatically covers a different installation. Where a test report is offered, match its product version and test conditions before treating it as an answer to your application question.
Choose participants by the decisions needed. A sales contact may explain the current offer, while a new configuration question requires a product specialist. A proposed service or delivery commitment may need someone else to approve it. An engineer's presence is not blanket authority to settle commercial terms, just as technical agreement within the buying team is not necessarily purchase approval.
This preparation does not need to become a large questionnaire. The objective is to identify the few inputs without which a responsible answer is impossible. Keep unrelated company introductions and general capability material available for reference, rather than allowing them to displace the question for which the meeting was arranged.
Record the conclusion and the work still required
During the discussion, distinguish an answer supported by existing evidence from an option that needs further information or validation. Also identify requirements outside the current supply scope. A possible approach mentioned by an engineer is not a selected design. If the parties are exploring alternatives, the record should retain that exploratory status.
When samples or site testing are proposed, define what uncertainty the exercise is meant to resolve. Agree the relevant conditions and who will judge the result. If those points remain open, describe the test arrangement as still to be agreed. A vague statement that the product will be acceptable if testing goes well does not explain what a satisfactory result would mean.
The same discipline applies when results arrive. A successful check supports a conclusion about the object and conditions actually examined. It does not automatically establish every variant, operating environment or production batch. If the intended application changes, revisit the affected part of the conclusion rather than carrying forward an unrestricted statement of suitability.
After the meeting, send a short account of the conclusions, their conditions and the remaining inputs. A colleague who did not attend should be able to distinguish what was agreed from what was discussed. An AI-generated summary may help organise the notes, but it should not add performance, timing or service promises that no authorised participant made.
Sometimes the useful conclusion is that the current product cannot meet a necessary requirement. Saying so promptly lets the buyer consider another option. Sometimes the only next step is collecting missing site information. That does not yet justify expanding the conversation into a full custom-development project or announcing that an order is ready to proceed.
The test of the meeting is therefore not its length or attendance. It is whether a specific purchasing uncertainty was resolved on an identifiable basis, or whether the next verification task became clear. Research supplies information; the meeting should identify the applicable conditions, the person responsible for the answer and the next verification still required.
