If marketing has a creator's video and remembers paying for the collaboration, but finance cannot find an invoice in TikTok One, check which account and transaction belong to that work. Repeating the payment or closing the project would both be premature without this match.

TikTok One's documentation, updated in October 2026, distinguishes payment records from invoices. Invoice availability and timing can vary by region, payment method and project type, and generally depend on the required completed project status. The practical implication is limited but important: a missing invoice is not, on its own, evidence that a payment never occurred.

Reconcile the project before the paperwork

A creator name is a weak reconciliation key. The same person can work on several products, markets or campaign batches. The same video can also have a preview, a revised cut and a final version. A payment screenshot bearing a familiar name may belong to a different piece of work.

Use the actual project or order reference to connect the approved scope, delivered assets and payment record. Check the transaction's status, amount and currency against that reference. This is especially useful when a Chinese supplier, an overseas marketing agency and a regional account operator divide the work among them. Otherwise each party may hold a correct record of a different stage.

Delivery, acceptance, payment and invoicing are separate questions. Delivery establishes what arrived. Acceptance establishes whether it meets the agreed scope. A payment record describes a transaction and its status. An invoice is another document with its own availability conditions. A single “complete” label should not be used to answer all four.

For a series, receipt of one video does not necessarily mean the project is finished. Revisions, subtitles or other agreed assets may remain outstanding. Check the collaboration scope before changing a project status merely to obtain paperwork. The correct status should reflect the actual work, not an administrative convenience.

Look for the invoice in the relevant account and process

The documented route is through Payment, or for some users through Account Settings before opening the invoice or transaction area. Check that the account is the one under which the project was placed. An invoice in one regional account will not necessarily be visible to a colleague looking at another account's transaction list.

If the download option is absent, check the supported region, payment method and project type rather than assuming every account shares the same screen. Monthly invoicing can also follow an account-specific arrangement. Another advertiser's screenshot is helpful for orientation, but it does not establish entitlement to the same invoice process.

Preserve the transaction details while the invoice question is investigated. A support inquiry is more useful when it identifies the project, relevant payment and missing document precisely. Avoid sending unnecessary private account material; the issue is the transaction being reconciled, not every activity in the account.

Finance must separately determine whether the available documents satisfy the company's accounting requirements. A platform's project status is not a conclusion about reimbursement or tax treatment. Where the needed document is unavailable, mark the gap and resolve it through the appropriate process rather than inventing a substitute record or treating a screenshot as automatically sufficient.

Connect the final asset to the transaction

The marketing archive and financial archive should point to the same work. A manageable record links the project reference to its approved deliverables, accessible final assets, acceptance decision and payment transaction. Add the invoice when it exists. Do not fill an empty field with “received” simply because someone wants the project closed.

Dates and currencies deserve attention because collaborators may report them differently. Distinguish a requested payment from a completed transaction, and the project completion date from the document issue date. When they differ, retain the difference long enough to explain it instead of flattening everything into one completion date.

Asset access remains another part of the job. As discussed in rendering versus delivery completion, an exported file is not useful if the recipient cannot open it. A financially reconciled collaboration can still leave the regional marketer with a preview rather than the agreed usable asset.

For suppliers investing in overseas creator content, that distinction changes what the purchasing team asks for upfront. Confirm the ordering account, the required deliverables, who accepts them and which records finance expects. These are not extra campaign metrics; they identify what the company is buying and how it will know that it received it.

Views and engagement can inform the next creative decision, but they cannot establish whether a file was delivered or a transaction occurred. Keep performance review separate from settlement. Then a disappointing video can lead to a discussion about the message or audience, without reopening an avoidable dispute about which project was paid.
