Meta announced on July 28 that WhatsApp Web can make and receive one-to-one and group audio and video calls without an application download. The update includes screen sharing, a Calls tab with history and favorites, transfer of an active group call between devices, an approval-based waiting room for call links, and background-noise suppression. Meta says web calls are end-to-end encrypted and that the features are rolling out gradually.
For international sales teams, easier calling removes a device barrier. It does not automatically transfer buyer context, document versions, participant authority, or follow-up ownership into the company's operating system.
Confirm the person, purpose, and document set first
A move from text to voice or video often means that the question is more complex or that additional decision-makers are joining. Before a call, the supplier should confirm the contact, company, product, language, time zone, agenda, expected participants, and documents likely to be shown.
An unfamiliar number or last-minute participant should not immediately receive sensitive quotations, customer files, drawings, or an unrestricted screen share. A waiting room and admission control can help manage participation, but the business still needs its own record of who was expected, who joined, and what access each participant had.
Before sharing a screen, the host should close unrelated windows and notifications. Approved specifications, drawings, quotations, and presentation files should carry a visible version or updated date. A convenient browser call should not become a route around document controls.
Device transfer needs an ownership transfer
A salesperson may begin a call on a phone while traveling and transfer it to the web or desktop when a larger screen becomes available. That continuity is useful, but it creates an operating question: who is recording facts, who can make a commitment, and who owns the next action?
Each call should have a host, note owner, and commercial decision owner. If sales, engineering, and management join at different stages, the handoff should include a short structured summary: buyer objective, facts already confirmed, open questions, documents shown, and conditions that no participant should promise without further approval.
This prevents the buyer from repeating the entire history and prevents a late participant from making a decision based on one fragment of the discussion. If responsibility changes with the device or participant, the change should be stated explicitly.
What this means for Chinese exporters
Cross-device calling can reduce friction across time zones and work environments, but the channel should be treated as one touchpoint in a larger sales process. End-to-end encryption protects the call in transit; it does not replace identity checks, internal permissions, accurate records, or accountable follow-up.
Teams also need a policy for notes, recordings, screenshots, and shared files. Applicable requirements and participant expectations can vary. A company should obtain the appropriate agreement before recording and should define where notes or files may be stored. Sensitive content should not remain only in a personal device or informal chat history.
After the call, the product, need, evidence, unresolved questions, owner, and next date should be written back to an owned CRM or order system. Important price, lead-time, payment, and contractual matters should be confirmed through the company's formal written process rather than treated as final because they were discussed verbally.
The handoff plan should include failure, not only a smooth device transfer. If connectivity drops, participants need a known fallback number or written channel and a rule for confirming the last agreed point. The host should not assume that silence means acceptance. After reconnection, restate the decision, evidence, owner, and next action before continuing.
Shared links and files should use company-controlled destinations where possible. This keeps access, revision, and withdrawal manageable after the call instead of leaving the buyer with an attachment that cannot be updated or traced.

1. Confirm buyer identity, company, product, agenda, language, time zone, and participant list before the call. 2. Use participant approval for unfamiliar or group calls and close unrelated notifications before screen sharing. 3. Assign a host, note owner, and commercial decision owner; prepare a structured handoff for device or participant changes. 4. Show only approved documents with a visible version and updated date. 5. Record requirements, evidence, open questions, ownership, and the next milestone in the CRM after the call. 6. Confirm price, delivery, payment, and contractual matters through an authorized written channel. 7. Apply company policy and appropriate participant agreement to recordings, notes, screenshots, and file storage.
